Practice Policies
These are the policies our practice adheres to and by choosing to work with us, you agree to. Sometimes we run into these policies during the length of our therapeutic relationship and it can illicit emotional responses. These responses are meaningful and are valuable material in your sessions. Please bring any questions, concerns, or thoughts about these policies to your therapy session.
Cancellations and Reschedules
Cancellations made be made at anytime through email to the general office (office@seattlecounselingcenter.org), your individual therapist ([name]@seattlecounselingcenter.org), or by phone (206.395.8004). Cancellations made within 48 hours of the appointment time are subject to the full session fee, which may be higher than your contracted insurance rate.
Your therapist may offer to reschedule your appointment to another time; however, cancellations made within 48 hours of the appointment time are still subject to the late cancellation policy. Reschedules are not guaranteed.
Insurance companies do not pay for late cancellation fees.
Fees and Insurance
Telehealth Sessions
Therapist fees can be found on our Fees & Insurance page.
While our clinic offers courtesy insurance benefits checks and can bill insurance companies we are in network for, clients are responsible for knowing and understanding their insurance benefits. Ultimately fees are the responsibility of the client and denials and rejections will be billed to the client.
All clients are required to keep a credit card on file and balances will be billed to the credit card every week. Should you wish to change the card on file, please contact your therapist or the billing office to update your credit card information.
Telehealth sessions are conducted through our secure video platform SimplePractice. If technical issues arise, we’ll switch to Google Meet, and if they persist via telephone.
Washington state law requires clients to be physically located within Washington state for telehealth sessions. It is your responsibility to manage your physical location - both state lines and private environment - and your inability to meet these requirements will be considered a late cancellation.
Communication Outside of Session
Emergencies
To support your therapy and maintain clear boundaries, communication outside of sessions is best reserved for scheduling, cancellations, or brief administrative questions. While we will do our best to respond within 24 hours, these channels are not secure for sharing therapy content or handling emergencies. If you are in crisis, please call 911 or go to your nearest emergency room.
Thoughts, reflections, or questions that come up between sessions are often most helpful when brought into our time together, where we can explore them safely and fully.
Often scheduling and billing issues quickly escalate from administrative into clinically relevant. Our policy is to engage briefly outside of session regarding these concerns, but using our session time to explore thoughts, feelings, questions, and concerns.
Seattle Counseling Center is not a crisis response center. If you need urgent help, please call 911.
Non-urgent calls will be responded to within 24 hours of our business hours (Monday through Friday, 9am - 5pm).
Email and text should only be used for communicated scheduling and cancellations. Therapeutic content will not be responded to outside the therapetuic hour.
Privacy
Your privacy is important to us. Your therapist will not approach or initiate conversation outside of the therapy office to protect your privacy.
Please do not search for your therapist on Google or seek digital connections.
Therapists at the Seattle Counseling Center do not accept friend or contact requests online.
Termination
Ending any relationship is meaningful, but especially a therapeutic relationship. If you are considering ending your therapeutic relationship, we encourage you to bring this idea to your sessions so we may best support you.
Therapists may choose to conclude therapy if sessions are not used safely or productively, or if the account is in default.
Failure to schedule sessions for three consecutive weeks without prior arrangement may result in discontinuation of services.
