Practice Support

 

You’re the person who notices when something is falling through the cracks. You like figuring out how things work, getting the details right, and leaving a system more organized than you found it. You’re capable of working independently, but you also like being part of a small team where your work actually matters.

At Seattle Counseling Center, you’ll work behind the scenes of a growing psychotherapy practice, helping make sure our clinicians have what they need and our clients have a smooth experience. You’ll have the opportunity to take ownership of meaningful administrative work, learn the systems that keep a private practice running, and help build better processes as SCC grows.

  • You’re comfortable working independently and can make progress without needing constant direction.

  • You’re curious and willing to learn the systems, terminology, and processes that come with running a psychotherapy practice.

  • You communicate clearly and professionally with clients, clinicians, insurance companies, and other vendors.

  • You’re comfortable with repetitive administrative work when it needs to be done, but also enjoy figuring out how to make a process more efficient.

  • You’re trustworthy with confidential information and understand the importance of privacy and discretion in a mental health practice.

  • You’re comfortable asking questions when you’re unsure and taking ownership when you know what needs to be done.

  • You’re interested in becoming a reliable part of a small team and helping shape the systems of a growing practice.

 

You’ll be considered if:

 
  • You have experience in administrative, medical, behavioral health, or other detail-oriented office work.

  • You have strong written and verbal communication skills.

  • You’re comfortable learning and working across multiple software systems.

  • You’re able to manage competing priorities and follow through on details.

  • You’re comfortable working with spreadsheets, data entry, and basic financial or billing information.

  • You can maintain confidentiality and handle sensitive client information appropriately.

  • You’re available for approximately 4–8 hours per week, with some flexibility in when those hours are worked.

  • You’re able to work some hours in our Queen Anne office and some remotely.

 

What you’ll do:

 

Billing & insurance

  • Track outstanding claims and follow up on unpaid or rejected claims.

  • Contact insurance companies when additional information or clarification is needed.

  • Enter and update billing and insurance information in SimplePractice.

  • Help identify and resolve discrepancies in client balances, payments, and insurance information.

  • Clean up outstanding items in SimplePractice, including claim records and other data-entry tasks.

  • Maintain organized records of billing and insurance follow-up.

  • Support the practice owner with insurance-related administrative tasks and research as needed.

Practice administration

  • Keep client and practice information accurate and up to date in SimplePractice and other systems.

  • Help maintain organized administrative records and files.

  • Support onboarding and offboarding processes for clinicians.

  • Assist with credentialing and payer-related administrative tasks as the practice grows.

  • Help coordinate office needs, supplies, and occasional maintenance or vendor communication.

  • Monitor administrative tasks that need follow-up and make sure they don’t get lost.

  • Identify recurring administrative problems and help develop better systems for handling them.

  • Take on occasional projects that support the growth and organization of the practice.

Client & clinician support

  • Respond to routine administrative questions from clients and help direct clinical questions to the appropriate person.

  • Assist with scheduling, forms, paperwork, and other administrative needs as appropriate.

  • Support clinicians with administrative questions and troubleshoot routine issues.

  • Communicate clearly and professionally with clients, clinicians, insurance companies, and vendors.

  • Handle confidential information with care and discretion.

General

  • Work independently while keeping the practice owner informed about important issues, patterns, and decisions.

  • Prioritize tasks appropriately when several things need attention at once.

  • Take responsibility for following through on assigned work.

  • Ask for clarification when needed rather than making assumptions about sensitive or consequential issues.

  • Look for opportunities to make SCC’s administrative systems more accurate, efficient, and sustainable as the practice grows.

 

What you’ll get:

 
  • Part-time W-2 employment

  • $26–34/hour, depending on experience

  • Approximately 4–8 hours per week, with flexibility in how those hours are scheduled

  • A mix of remote and in-person work
